Wine Club Policies

At Evergreen Family Wines, we believe elevated wines should feel approachable, personal, and rewarding. Our wine clubs are designed to be flexible and enjoyable, and we ask our members to partner with us in keeping things running smoothly. The following policies help ensure the best possible experience for everyone.

Membership Commitments & Customization

  • All wine club memberships are customizable within the minimum purchase requirements outlined on the club information pages of our website and on printed materials available in our tasting rooms.
  • To maintain an active membership and enjoy club benefits, each club release must be purchased.

Cancellation Policy

  • After receiving your first wine club release, memberships may be canceled at any time prior to your next scheduled wine club release charge by:
    • Emailing info@evergreenfamilywines.com, or
    • Cancelling through the club member portal on our website.
  • Memberships will not be canceled without written notice. Phone calls or in-person requests cannot be accepted.
  • It is the member’s responsibility to cancel before the credit card on file is charged for the next release.
  • Paid club releases are non-refundable once processed.

Cancellation Fees

  • If a membership is canceled before the first release and any club benefits have already been used, a $100 cancellation fee will apply.
  • Members who attend a ticketed club release party agree to remain active for a minimum of four releases. Canceling before that commitment is met will result in a $100 cancellation fee.

Club Communications

  • Evergreen Family Wines communicates with wine club members primarily via email, and may also use text messaging (SMS) for time-sensitive updates, reminders, and release notifications.
  • Text messaging is an optional service and may require member opt-in.
  • Members are responsible for ensuring that their email address and mobile number on file are accurate and current.
  • If emails or texts are not being received, members should check spam or junk folders and verify their account details in the club member portal.

Member Account Responsibilities

  • Wine club members are responsible for keeping their account information up to date, including:
    • Credit card details
    • Email address
    • Mobile phone number (for text notifications, if enrolled)
    • Shipping and billing addresses
  • Club communications, including processing notices, deadlines, and important updates, will be sent via:
    • Email
    • Text message (SMS), when available and if the member has opted in
  • It is the responsibility of the club member to stay informed by reviewing all communications sent to the contact information provided.

Club Benefits & Use

  • Wine club benefits are exclusive to the named club member(s) on the account.
  • Benefits are not transferable, and the club member must be present to use them.
  • Tasting flights included with membership are limited to one per person, per visit.
  • All terms and conditions are subject to change, written notice will be provided to members when/if changes occur.

Pickup & Shipping Notifications

  • Notifications regarding club release processing, pickup deadlines, shipping details, and delivery updates will be sent to the current email address and/or mobile phone number on file.

Club Releases: Pickup & Shipping

  • If a club release is not purchased and picked up by the stated processing date, it will be automatically shippedto the address on file.
  • Club releases are shipped via UPS or FedEx.
  • To ensure wine quality, shipments may be held during periods of extreme heat or cold.
  • By law, a person 21 years or older must be present to sign for all wine deliveries.

Shipping Adjustments & Returns

  • UPS/FedEx redirect, recall, or re-ship fees will apply to changes made after the processing deadline.
  • If a shipment is returned to our fulfillment center:
    • Members have 30 days to either:
      • Pick up the release at our Prosser Tasting Room, or
      • Request re-shipment (additional shipping and handling fees apply).
    • If no arrangements are made within 30 days, the wine will be donated to charity, and no refund will be issued.

Release Pickup Timeline

  • For members who choose pickup instead of shipping, releases must be collected within six (6) months of the release date. (Limited availability for pick up)
  • Releases not picked up within six months will be donated to charity, and no refund will be issued.

Founding Members

  • Members who are considered Founding Members may receive additional perks.
  • If a Founding Membership is canceled, those additional perks will not be reinstated if the member rejoins at a later date.
